Overview
A group of independently managed hotel properties needed a faster way to handle guest bookings and internal maintenance requests without adding headcount at the front desk.
The Challenge
Guests were booking rooms, asking about availability, and requesting late checkouts through a mix of phone calls, third-party booking apps, and direct messages — all funneled through front desk staff who were also handling in-person check-ins. At the same time, maintenance issues reported by guests or housekeeping (a broken AC unit, a leaking tap) were tracked on paper logs, which meant requests were sometimes missed or took hours to reach the right staff member.
The Solution
Code Kumite built a WhatsApp-based automation layer connecting guests and staff directly to each property's booking and maintenance systems:
- Guest booking assistant — guests check room availability, book, and receive confirmations entirely within WhatsApp, with automated reminders ahead of check-in and check-out
- Maintenance request routing — staff and guests report issues via WhatsApp, which are automatically categorized and routed to the right department (housekeeping, engineering, front desk) with status updates sent back automatically
- Multi-property support — each property operates its own booking and maintenance queue from a shared platform, so the automation scaled across the chain without separate setups per location
- Human handoff — anything outside the bot's scope, like a special request or a complaint, is escalated to a staff member immediately rather than looping the guest through menus
Implementation
We rolled the assistant out to one property first, tuning the booking flow and maintenance categorization against real guest conversations before extending it to the rest of the chain. Front desk and housekeeping staff were trained on the new maintenance dashboard so requests logged by guests over WhatsApp appeared in the same place as issues staff logged themselves.
Results
- Faster average response time on both booking inquiries and maintenance requests, with routine questions answered instantly instead of queued behind front-desk calls
- Fewer missed maintenance issues, since every request was logged and routed automatically instead of relying on a paper log
- Front desk staff freed up from repetitive booking questions to focus on in-person guest experience
- Consistent guest communication across every property in the chain, despite each being independently staffed
Conclusion
Guests got a faster, always-available way to book and communicate, while staff got a maintenance workflow that no longer depended on someone remembering to check a paper log — all running on a channel guests were already using.
