Overview

A pharmacy chain with 15 locations needed a single system to manage billing and inventory instead of the mix of standalone tools each branch had adopted independently over the years.

The Challenge

Stock levels were tracked locally at each branch with no visibility for head office, so popular items regularly ran out at some locations while sitting overstocked at others. Supplier orders were placed manually and separately by every branch, leading to inconsistent pricing and duplicated purchasing effort.

The Solution

We deployed Code Kumite's retail management system across all 15 locations on a shared backend:

  • Real-time stock visibility across every branch from a single dashboard
  • Automated purchase orders triggered by configurable reorder thresholds
  • Centralized supplier and pricing management
  • Branch-level and group-level sales reporting

Implementation

Rollout happened in batches of three to four branches per week, with barcode data and existing stock counts migrated ahead of each go-live. Branch staff used the new POS in parallel with their old till for the first two days at each location to catch any data gaps before fully switching over.

Results

  • 35% reduction in stockouts across the chain
  • Procurement centralized into a single purchasing workflow
  • Consistent pricing and promotions across all branches for the first time

Conclusion

What started as a billing upgrade became a full operational shift — head office finally had the same visibility into stock as each individual branch manager.
